Position Summary:

Initiate the order for reproduction of required publications and monitor the process and delivery schedules. Generate reports and ship documentation as required for the distribution process.

Prepare correspondence under the direction of the department manager. Interpret customer order and delivery requirements; enter orders and follow-up as necessary ensuring customer fulfillment of orders are within company policy guidelines. Insure documentation is in compliance with FAA guidelines.

Primary Responsibilities:

  1. Administrative Tasks 50%
  • Update and maintain customer database for distribution of technical publications. Aircraft ownership is categorized by helicopter model version and serial number.
  • Generate reports and shipping documentation from computer files.
  • Assemble for new delivery sets of technical manuals per approved marketing department aircraft sales order. Prepare work order for publication manuals. Issue contracts for publication subscriptions service for all new and used aircraft deliveries.
  • Prepare customer shipments, utilizing documentation generated from customer database.
  • Maintain the distribution history log for Legal Dept. reference.
  • Contact subsidiaries for further training for Tech Pubs database.
  1. Customer and Vendor Administration: 35%
  • Contact vendors to produce technical publications custom inventory. Responsible for all customized changes to the content and artwork of the inventory and submit to the vendor. Contact vendors for price and availability and maintain all price changes to the inventory.
  • Perform receipt audit of incoming shipment and make distribution as required.
  • Communicate with customers regarding purchases, invoices, problem solving and accuracy of distribution records. Provide copies of customer subscription service on request.
  • Assist customers (help desk) and in-house associates on accessing electronic and paper publication manuals.
  1. Technical Publications Distribution: 15%
  • Distribute all models of the publications to the fleet. Responsible for the distributing appropriate quantities of publications for in-house requirements including field reps, AHI Mississippi associates, Turbomeca associates, Thales representatives and various government agencies. Responsible for monitoring inventory levels of technical publications for customer purchases, in-house requests, maintaining inventory for both new and used aircraft deliveries.
  • Issue contract and ship publication manuals to service centers per approval of customer support management.

Qualified Experience / Skills / Training:

Education:

  • HS diploma or equivalent work experience.

Experience:

Required:

  • Minimum of three (3) years related records retention experience.

Preferred:

  • Minimum one (1) year of SAP, Seibel, and document control experience.
  • Minimum five (5) years of Microsoft office experience.
  • Bilingual capabilities (Spanish is preferred)

Knowledge, Skills, Demonstrated Capabilities:

  • Requires good analytical and editing abilities, customer service, communication and organizational skills. Must be flexible to change priorities quickly.

Physical Requirements:

  • Onsite: 95%,
  • Vision: able to see and read computer screen and other electronic equipment with screens, able to read documents, reports and engineering drawings.
  • Hearing: able to hear to participate in conversations in person and via teleconference or phone and to hear sounds on production floor including safety warnings or alarms.
  • Speaking: able to speak in conversations and meetings, deliver information and participate in communications.
  • Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment and some tools including production tools such as hydraulic lifts.
  • Carrying: able to carry documents, tools, drawings, electronic equipment up to 25lbs.
  • Lifting: able to lift documents, tools, drawings, electronic equipment up to 25lbs.
  • Pushing / Pulling: able to push and pull small office furniture and some equipment and tools.
  • Sitting: able to sit for long periods of time in meetings, working on computer.
  • Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving.
  • Standing: able to stand for discussions in offices or on production floor.
  • Travel: able to travel independently and at short notice.
  • Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas including uneven surfaces.
  • Personal Protective Equipment required: Occasionally may be required PPE includes, but is not limited to, Safety Shoes, Safety Glasses, Hearing Protection if visiting the shop floor.
